INTRODUCTION
Welcome to GalimAI. By accessing or using our services — including our website, property intelligence portal, and campaign services — you agree to be bound by these Terms of Service.
GalimAI is a UK-based property intelligence company. We use proprietary AI technology to identify off-market property owners showing financial, legal, or personal signals that may indicate a willingness to transact. We then facilitate introductions between those owners and our clients through personalised outreach campaigns.
Important: These terms govern all use of GalimAI services. If you do not agree with any part of these terms, you should not use our services.
WHAT WE SELL
GalimAI sells campaign services, not raw data. This distinction is fundamental to understanding our offering.
Our product is the campaign itself. When you purchase a GalimAI service, you are purchasing a personalised letter campaign — the strategy, targeting, materials, outreach, answering service, and intelligence reports that come with it. The campaign material is the product.
Our complete service includes:
- AI-driven identification of property owners matching your criteria
- Personalised, handwritten outreach letters sent on your behalf
- A dedicated phone number and professional answering service
- Comprehensive intelligence reports on owners who respond
- Ongoing campaign management and optimisation
Raw data sales: GalimAI does not sell raw data lists as a standard product. If you require a raw data export (company names, addresses, contact details), this must be requested separately and approved by the GalimAI team. DATA POLICY
GalimAI operates a strict data policy designed to protect both our clients and the property owners in our database.
What we share and when:
- Aggregated statistics and market insights are available to all registered portal users
- Individual company names, director details, and contact information are only shared with Tier 3 and Tier 4 clients
- Contact details for a specific property owner are only provided once that owner has responded positively to a campaign
- No raw data is ever shared without explicit written approval from GalimAI
Portal searches: All searches conducted through the GalimAI portal are logged and accessible only to the GalimAI team. This logging is used exclusively to improve our service, fulfil campaign requests, and provide better intelligence to clients. Your searches are never shared with third parties, competitors, or any external organisation.
GalimAI's database is 100% proprietary. It is built from publicly available sources (Companies House, Land Registry, The Gazette, planning databases) combined through our own AI logic. We own this data and control all access to it.
PORTAL ACCESS & TIERS
Access to the GalimAI Property Intelligence Portal is granted on a tiered basis. By registering for the portal, you agree to the following conditions:
- Registration: You must provide accurate name, email, phone number, and company name to register. Email verification is required before access is granted
- Demo Access (Tier 1): Free access limited to 4 searches per month. Results show aggregated counts and statistics only — no individual company or owner details
- Standard Access (Tier 2): Up to 20 searches per month. Results show aggregated data. Upgrade requests are reviewed by the GalimAI team
- Professional Access (Tier 3): Up to 20 searches per month with full company and owner data. Excel export available
- Enterprise Access (Tier 4): Unlimited searches with full data access and advanced analytics
GalimAI reserves the right to suspend or terminate portal access at any time if these terms are violated or if use of the portal is deemed inappropriate or harmful.
CLIENT RESPONSIBILITIES
Clients engaging GalimAI for campaign services agree to the following responsibilities:
- Provide a headed letter on your company letterhead for use in the campaign
- Specify the target area, property type, and any specific criteria for the campaign
- Provide a branded email address to be used for campaign communications
- Understand that some target companies may own properties in multiple areas
- Inform GalimAI of any direct contacts received as a result of the campaign, so we can maintain accurate records and avoid duplication
- Use all information and intelligence reports provided by GalimAI responsibly and in compliance with UK law
- Not share, resell, or distribute any data or reports provided by GalimAI to third parties
CAMPAIGNS & RESPONSE RATES
GalimAI operates a handwritten letter campaign service with industry-leading response rates. However, response rates are not guaranteed and will vary based on several factors:
- Property type and location (London properties may respond differently to those outside London)
- Market conditions at the time of the campaign
- The specificity of the targeting criteria
- Seasonal factors and economic conditions
Additional letters: If additional letters are required to meet an agreed lead target, GalimAI will cover the cost of data and letter production. The client will be responsible for the cost of stamps and phone line continuation for any subsequent campaigns beyond the initial agreement.
Phone and answering service: GalimAI will set up a dedicated phone number and answering service for the first two months of the campaign. Continuation of this service beyond two months is available at an additional fee, agreed separately.
REPORTING & INTELLIGENCE
GalimAI provides a comprehensive intelligence report for each company that responds to a campaign. These reports include:
- Company financial health and structure
- Property details including address, type, value estimate, and ownership duration
- Director information and profiles
- Outstanding loans, charges, and financial pressure indicators
- Filing history and compliance status
- Strategic insights and motivation indicators

It is derived from publicly available sources and is intended to guide your conversations and negotiations — not to replace professional financial, legal, or credit assessment. GalimAI reports are not credit reports and must not be treated or relied upon as such. You should never make a financial or investment decision based solely on information provided by GalimAI. Always conduct your own independent due diligence.
GalimAI is not responsible for any inaccuracies, omissions, or changes in the underlying data after the point of delivery. Property ownership records, financial filings, and director information may change after our reports are generated. All information is provided in good faith based on the most recently available public data at the time of the report.
LEAD QUALITY GUARANTEE
GalimAI is committed to delivering introductions that match the criteria agreed at the start of your campaign. We operate the following quality policy:
If a response does not match your agreed criteria — wrong property type, wrong location, or the owner's situation does not match the parameters you defined — it will not be counted as a chargeable lead, provided you have not yet made contact with that person.
What qualifies as a lead:
- A property owner who has responded to your campaign AND whose property and situation match your agreed criteria
- Once you have made contact with a responding owner — by phone, email, or any other means — that introduction is counted as a chargeable lead regardless of whether it ultimately results in a transaction
- If you have already spoken with someone and then determine their situation does not match, this cannot be reversed — contact constitutes acceptance of the lead
Dispute process: If you believe a lead does not meet your agreed criteria and you have not yet made contact, notify GalimAI within 5 business days of receiving the lead report. We will review and, if agreed, replace it with a qualifying introduction at no additional charge.
PAYMENT TERMS
GalimAI operates two payment models depending on the service you have ordered:
Letter Campaign Packages:
- When purchasing a letter campaign package, the full cost of the campaign materials is paid in advance before the campaign launches
- Lead fees of £120 per qualifying introduction are charged separately and invoiced approximately two weeks after the campaign launches, once initial responses have been collected and verified
- A final reconciliation payment is made a few weeks later once all responses have been counted and the total lead balance is confirmed
50-Lead Packages:
- For clients ordering a package of 50 leads in a single order, a deposit of 50% of the total lead fee is required before the campaign begins
- The remaining 50% balance is due once 70% of the agreed lead target has been delivered — for example, once 35 of your 50 leads have been received
General payment conditions:
- GalimAI operates outside the UK for VAT purposes. VAT is not applicable to our services unless otherwise stated in writing
- Payment is accepted by bank transfer
- GalimAI reserves the right to pause campaign activity in the event of non-payment
- Additional campaigns beyond the original agreement are invoiced separately
LIABILITY
While GalimAI strives to provide accurate, effective, and high-quality services, the following limitations apply:
- GalimAI is not liable for any financial losses incurred by clients as a result of acting on information provided through our reports, portal, or campaign services
- GalimAI is not responsible for the outcome of any transaction, negotiation, or deal that originates from a GalimAI introduction
- GalimAI does not guarantee specific response rates, deal volumes, or financial outcomes
- Clients use all information and services at their own risk and are responsible for conducting appropriate due diligence
- GalimAI's total liability in any circumstances shall not exceed the fees paid by the client for the specific service in question
These terms do not affect any statutory rights you may have under UK law.
